AI Product Owner HubSpot setup guide
Use this guide when installing AI Product Owner from the HubSpot Marketplace or when reconnecting an existing company workspace.
What the integration does
AI Product Owner imports read-only HubSpot meeting notes, CRM notes, and associated deal context. It extracts customer-backed feature requests and estimates the business impact of each request for product prioritization.
The integration does not create, update, or delete HubSpot CRM records. Generated feature requests are stored in AI Product Owner.
Install and connect HubSpot
- Sign in to AI Product Owner or create an account.
- Open the HubSpot install URL and choose the HubSpot account to connect.
- Review the requested read-only CRM scopes on the HubSpot approval screen.
- Select Connect app in HubSpot.
- When HubSpot returns you to AI Product Owner, choose the company workspace that should use the portal.
Start from the HubSpot install URL. If you are not signed in, AI Product Owner will ask you to sign in or create an account before sending you to HubSpot.
Required scopes and shared data
- oauth
- Allows AI Product Owner to complete HubSpot OAuth setup and call HubSpot's app uninstall endpoint when a workspace owner disconnects the integration.
- crm.objects.contacts.read
- Required by HubSpot for meeting activity search. AI Product Owner does not import contact field values or create, update, or delete contact records.
- crm.objects.notes.read
- Reads CRM note bodies and timestamps for the selected import window. AI Product Owner does not create, update, or delete notes.
- crm.objects.deals.read
- Reads deal name, amount, stage, pipeline, and close date for deals associated with imported meetings and notes.
- Meeting activity records
- Reads meeting bodies, internal meeting notes, meeting times, and meeting titles for the selected import window.
Configure the app
- Open the company workspace in AI Product Owner.
- Go to Settings, then Integrations.
- Confirm that HubSpot shows the connected portal ID.
- Keep HubSpot enabled for the company workspace that should import CRM signals.
Use the app
- Open the Feature requests page in the connected company workspace.
- Use Analyze HubSpot to select a date range.
- AI Product Owner reads HubSpot meetings, CRM notes, and associated deal context.
- Review the generated feature requests, impact estimates, source summaries, and duplicate notices.
Imports are manual. Each import uses the selected date range and stores a summary of scanned meetings, scanned notes, extracted requests, created requests, and skipped duplicates.
Disconnect and uninstall
- Open Settings, then Integrations in AI Product Owner.
- Select HubSpot.
- Choose Disconnect.
- AI Product Owner calls HubSpot's uninstall endpoint, then clears stored access and refresh tokens.
Disconnecting removes AI Product Owner from the HubSpot account and clears local OAuth tokens. Previously imported feature requests and import summaries remain in AI Product Owner so your product backlog history is preserved.
